How Sabeam Works

How Sabeam protects every dollar and pays every builder.

Two parts. The operating layer that does your admin from a voice note or a forwarded email — live today — and Secure payments, the premium escrow that funds milestones and releases the moment work is approved. Here's how both work.

Live today

The operating layer that does your admin

Secure payments (further down) is the premium upgrade. The rest of Sabeam is live now: the layer that turns what you say, forward, and snap on site into finished paperwork — drafted and waiting for your nod, not another job on your list.

You capture, however suits

Talk it on site, forward an email, snap a photo, drop in a PDF. No new system to learn and no forms while you’re on the tools — Sabeam takes whatever you already do.

Sabeam does the admin

One voice note becomes a priced variation, a message to the sub, a note for the plan and a line in the diary. A forwarded certificate becomes a compliance record. It comes back finished, not as a to-do.

You approve — you stay in control

Anything that touches money, a contract or a person waits for your nod. The low-stakes everyday log, like a diary note, files itself. Nothing is sent or changed without you.

How it fits your business

  • Sits underneath the tools you already use — keep Procore, Buildxact, your phone and your inbox.
  • No migration and no new habits: you forward, speak and snap exactly as you do now.
  • Start with one module and add more as you go — each works on its own.
  • Your office and your subbies see finished documents and plain-dollar payments, never the plumbing.

What it gives you

  • Your evenings back — the day’s paperwork is done before you leave site.
  • Variations you actually get paid for, captured the moment they happen.
  • A defensible, dated record for every job — diary, photos, approvals.
  • Subbie licences and insurances kept current, and the TPAR drafted for you.

The Secure payments lifecycle

Turn on Secure payments and milestones are funded, locked, and released the moment work is approved. Seven steps from funded milestone to reconciled payout.

Step 01

Project Setup

Builder creates a project on Sabeam, defines milestones with payment amounts, and invites the homeowner. Takes about five minutes.

Step 02

Funds Deposited — Milestone by Milestone

You fund one milestone at a time, not the whole build upfront. When a milestone is ready to start, the homeowner authorises a direct debit (PayTo) from their bank account into that milestone’s escrow — and only that milestone. No lump sums sitting with anyone.

Step 03

Funds Secured

Deposited funds are held in a segregated Australian trust structure and locked to specific milestones. Neither party can access them unilaterally.

Step 04

Work Completed

Builder completes the milestone work and marks it as done — either manually through the dashboard or automatically via a Procore webhook.

Step 05

Review & Approval

Homeowner receives a notification, reviews the milestone evidence, and approves the release. If unsatisfied, they can raise a dispute with one click.

Step 06

Instant Payment

On approval, funds release instantly via Australia’s New Payments Platform (NPP) — directly to the builder’s bank account. Same-day settlement.

Step 07

Reconciliation & Audit

Payment auto-reconciles in Xero. Every deposit, approval, and release is recorded in an immutable audit trail with timestamps and amounts.

Trust architecture

Three layers of protection ensure funds are safe, segregated, and auditable at every stage.

Segregated Trust Structure

All project funds are designed to be held in a segregated Australian trust structure, separated from Sabeam’s operating capital. The platform is built to operate through a licensed Australian payments partner ahead of public launch.

Milestone-Locked Escrow

Each milestone’s funds are isolated and locked. Release requires verified completion and approval from both the homeowner and builder — no single party can unilaterally move funds.

Immutable Audit Trail

Every deposit, approval, release, and dispute is permanently recorded with timestamps, amounts, and parties. Records cannot be altered or deleted after the fact.

Settlement speed matters

Faster payments mean healthier builders, fewer insolvencies, and happier homeowners.

Traditional Escrow

5–10 days

Manual bank transfers, paper-based approvals, batch processing windows, and multiple intermediaries. Each step introduces delay and potential for error.

Sabeam

Same day

Homeowner approves, funds release via NPP directly to the builder's bank account. No manual intervention, no batch windows, no intermediaries.

Verification & dispute resolution

Clear processes that protect both builders and homeowners.

How Verification Works

  • 1Builder marks milestone as complete and submits evidence
  • 2Homeowner receives notification with review details
  • 3Homeowner approves or raises a dispute within the review window
  • 4On approval, funds release instantly to the builder

How Disputes Work

  • 1Either party raises a dispute — funds freeze immediately
  • 248-hour review window for both parties to submit evidence
  • 3Independent resolution process evaluates the evidence
  • 4Funds released or returned based on the resolution outcome

Fits into your existing stack

Sabeam integrates with the tools you already use — no migration required.

Accounting (Xero)

Payments auto-reconcile in Xero when milestones are released. Invoices marked paid, transactions reconciled, bookkeeper work reduced to zero.

Project Management (Procore)

Procore webhooks trigger milestone status updates automatically. When a stage is marked complete in Procore, Sabeam initiates the review process.

Platform API

RESTful API with real-time webhooks. Create projects, manage milestones, and trigger releases programmatically. Full sandbox mode for development.

Bank-grade security

Every layer of Sabeam is built with security as a first principle.

256-bit Encryption

All data encrypted in transit and at rest using AES-256. TLS 1.3 for all API and web traffic.

Multi-Factor Auth

TOTP-based two-factor authentication required for all high-value operations and account changes.

Fraud Detection

Real-time transaction monitoring, IP reputation scoring, and anomaly detection on every operation.

AML/CTF Aligned

AML/CTF program built to AUSTRAC Tranche 2 standards (effective 1 July 2026). KYC via GreenID identity verification integrated into the onboarding flow.
